What is Enterprise Content Management?
With Enterprise Content Management (ECM), all data, information and documents are stored, archived and managed in a context-related manner on a single platform. ECM systems offer numerous advantages for managing the increasing number of (un)structured electronic documents and data. Customers benefit from the wide range of functions offered by ECM systems, from versioning and collaboration functions to search options and mobile access to data.
Questions tackled by Enterprise Content Management:
- Is revision security (completeness, availability, traceability, etc.) of documents guaranteed?
- Are my documents stored lawfully?
- How can I digitize my business documents and speed up their processing?
- How can I minimize the error rate in document processing?
- Which tasks and steps can be automated in the process?

The five phases of document processing
Nowadays Enterprise Content Management is so much more than "Archiving". Rather, an ECM system accompanies your documents, videos, photos, etc. from their receipt or creation to their final archiving. It enables your users to access documents at any place and at any time and with any end device.
Document Management (DMS)
Efficient document management (DMS) involves much more than just storing documents in a file system. In a DMS, your data is managed in a structured manner, complemented by metadata, versioned and routed through your processes in a targeted manner. Editing in the process and versioning make it possible to track the current status of a transaction or document at any time. Our document management solutions also offer you the advantage of being able to display the documents you need at any place and on any device at any time.
The audit-proof and GDPR-compliant storage and archiving of documents requires an archiving infrastructure that meets these requirements. Immutability, storage period and the secure deletion of data are topics that a modern archive must map. Our solutions offer you standardized interfaces to various ERP systems (SAP, MS Dynamics, JD-Edwards, etc.) and an open architecture that makes it possible to connect almost any other application. Effective storage management gives you maximum control of where your data is stored securely and cost-effectively.
Today, digitizing analog content involves much more than simply scanning documents. Rather, the most diverse input channels (mail, paper, file systems, DMS...) are now processed by capturing tools in order to analyze and process the incoming documents. The software recognizes, for example, what type of document it is and automatically applies rules to extract the required metadata from the content. After such "pre-processing," the documents can be routed directly to the respective processes, where they can be further processed either with or without the interaction of an employee.
Workflow and process management
Processes and their handling in companies are often complex and based on individual knowledge of single employees. The digitalization of complex processes brings transparency to the company on the one hand and significantly increases effectiveness on the other. The user always has all the necessary data and documents available or can explicitly request what is missing, and at the end of a process there is always a uniform, quality-assured result.
Robotic Process Automation (RPA)
Some jobs are monotonous, error-prone, and cost your employees valuable time that could be used more productively elsewhere. Robotic Process Automation offers you the chance to automate such tasks to increase processing speed and improve quality. Another advantage of this technology is its ease of implementation and rapid return on investment (ROI).
